What running our first property taught us the hard way

A brick guesthouse with a garden and driveway

We ran a guesthouse before Hostberg existed as a product. Every early feature came from something that went wrong there first.

The sync gap that cost a booking

Early on, Airbnb and Booking.com calendars were reconciled manually, once a day. A same-day booking on Booking.com sat unsynced for a few hours, and a guest booked the same unit on Airbnb in that window. One of those two bookings had to be cancelled, and cancelling on either platform costs you in ranking. That's the specific incident that made one shared calendar, with every booking in one place and checked before anything is confirmed, the first thing Hostberg was built around.

The cleaner who didn't know the status

Housekeeping status lived in a phone call. When the person making that call was unreachable for an hour, a unit sat un-cleaned past a check-in time. The 8-stage housekeeping board exists because a phone call is a single point of failure and a shared board isn't.

The folio built from memory

Checkout used to mean reconstructing charges from a notebook and a few WhatsApp messages. More than once, a charge got missed or double-counted. Every charge Hostberg tracks now gets attached to the booking the moment it happens, specifically so nothing depends on someone remembering it correctly three weeks later.

If you're running into the same three problems, the longer write-ups are here: how double bookings actually happen, a housekeeping checklist that doesn't live in someone's head, and what a guest actually needs to see on a folio.
